Where we work

Offshore staffing and virtual assistants for Sydney businesses

Sydney wages have outrun what a lot of good businesses can carry, and the roles that keep a firm running are the ones that get cut first. You can staff those roles properly out of Manila and still have someone in the seat before your first meeting. We place the person and stay involved after they start.

Can a Sydney business hire a virtual assistant in the Philippines?

Yes. A Sydney business can hire a Philippines-based virtual assistant directly or through an employer of record. Manila is two hours behind Sydney in winter and three hours behind during daylight saving, so a 9am to 5pm Sydney day is a morning start in Manila and your hours overlap almost completely.

The time difference, in real terms

Manila sits on UTC+8 all year and never moves for daylight saving. Sydney moves, so the gap changes twice a year. Here's what a standard business day actually looks like on both clocks.

Sydney, winter (UTC+10)

9:00am to 5:00pm

Manila (UTC+8)

7:00am to 3:00pm

Sydney, daylight saving (UTC+11)

9:00am to 5:00pm

Manila (UTC+8)

6:00am to 2:00pm

Melbourne, same clock as Sydney

9:00am to 5:00pm

Manila (UTC+8)

7:00am to 3:00pm, or 6:00am to 2:00pm in summer

Brisbane, all year (UTC+10)

9:00am to 5:00pm

Manila (UTC+8)

7:00am to 3:00pm, every day of the year

Queensland doesn't run daylight saving, so a Brisbane roster set in January still works in July. Nothing shifts underneath you.

A daily standup at 9am Sydney time is a 7am standup in Manila, or 6am when the clocks move. Most of our clients run theirs a little later in the morning so it sits comfortably on both sides. Live customer calls are the easy part. Your phones and your inbox are covered from the moment your day opens, because your team member has already been at their desk.

End of day is where the overlap earns its keep. Your assistant finishes their shift mid-afternoon Sydney time, which means the handover note, the updated pipeline and the day's invoices are sitting there while you still have hours left to act on them. You're not reading a summary the next morning of work you needed yesterday.

Why our people want these hours

The Philippine outsourcing industry grew up serving American clients, and American hours mean Manila night shifts. Roughly 9pm to 6am is the industry default, and a lot of experienced Philippine professionals have spent years working it.

That schedule costs something. Sleep gets broken, health follows, the commute happens in the dark and your social life runs opposite everyone you know. People do it because the work is good and the pay is competitive, and they weigh it up like any other career trade.

A Sydney or Brisbane workday flips it. Your business day is a morning start in Manila, so the person doing the work keeps their evenings, their weekends and a normal sleep pattern.

That changes who applies. We're competing for the same candidates as a US-facing employer offering the same money, and we're offering daylight hours. Experienced people take these roles, and they stay in them, because there's no reason to leave for a night shift somewhere else. You get a stronger shortlist and less turnover, and it's the schedule doing that rather than anything we say about ourselves.

Most offshore conversations skip this entirely. It's worth saying out loud, because it's the part that decides whether your hire is still with you in two years.

What Sydney businesses hire us for

Professional services firms

Accounting practices, law firms and financial advisers across the CBD, North Sydney and Parramatta carry a lot of process work that never touches a client's judgement. Client onboarding packs, document collection, ATO correspondence tracking, practice management data entry and the endless chase for outstanding information. A Manila-based coordinator starting at 7am Sydney time can have the day's client requests out before your first appointment.

Marketing and digital agencies

Surry Hills and Alexandria are thick with agencies running lean on delivery. The work that goes offshore first is production: build the campaign in the platform, cut the assets to spec, schedule the content, pull the client report together, chase the approvals that hold everything up. Your strategists keep the thinking and stop spending Fridays exporting screenshots.

Consultancies and advisory practices

Small consultancies live and die on the founder's calendar. Proposal formatting, research summaries, CRM hygiene, invoice follow-up and inbox triage eat the hours that should go to billable work or business development. This is usually the first hire that pays for itself, because the time it frees is time you already know how to sell.

Allied health clinics

Physio, psychology and dental practices from the Inner West out to the Hills run on a booked diary. Reception coverage from 7am Sydney time catches the early callers, and the recall lists, referral chasing, health fund queries and rebate processing get worked through while your practitioners are with patients. Your front desk stops choosing between the phone and the person standing at it.

Also serving Melbourne

Melbourne runs the same clock as Sydney, daylight saving included, so everything above applies without adjustment. The business mix is different though. Melbourne skews harder into creative and brand work, professional services around Collins Street, and a deep base of trades and home services businesses across the outer suburbs where the growth has been. We see a lot of demand for scheduling and quote follow-up support in that outer belt, and a lot of production support inside the agencies. If you're running a Melbourne business, the practical difference from Sydney is nil on hours and mostly about which roles you need first.

Trades and home services

Also serving Brisbane and the Gold Coast

Brisbane sits on UTC+10 all year. Queensland doesn't observe daylight saving, so the gap to Manila is a flat two hours in January and a flat two hours in July. A roster you set once keeps working. That matters more than it sounds when you're covering phones, because nothing quietly shifts an hour in October and leaves you uncovered at 8am. The Brisbane and Gold Coast market leans towards trades, construction services, property and a strong small-business health sector. Quote follow-up, job scheduling and accounts support are the roles that come up most.

Trades and home services

What you're actually comparing it to

The honest comparison isn't a Manila salary against a Sydney salary. It's the full cost of an Australian employee against the full cost of an offshore one, and most people forget half of what sits on their side of that line.

Hire in Sydney and you carry superannuation on top of the wage, payroll tax once you cross the New South Wales threshold, workers compensation premiums, leave loading, annual and personal leave accrual, and the recruitment cost of finding the person in the first place. Then there's the desk, the software seat, the parking or the transport allowance, and the management time that goes into all of it.

Under an employer of record arrangement in the Philippines, the entity that employs your team member carries the statutory obligations in that country. You're paying one monthly figure for the person plus the tech they need, and you're not administering Australian employment on top of it.

We're not going to put a percentage on the difference, because it depends entirely on the role and what you'd otherwise pay. The actual numbers are on the pricing page.

Onshore, and how that works from here

ScaleUp Staff is Australian-managed. Your account management, the briefing work before your team member starts and the quality control after they do all sit onshore, with people who've done the roles they're checking.

We don't have an office in Sydney. This is a remote service, and it's remote the same way for a client in Parramatta as it is for one in Perth. What you get is a senior person you can call in your own timezone who knows your account, not a local address on a website.

In practice that means someone onshore writes the role brief with you, sets the standards your team member works to, reviews output you're not yet in a position to judge, and sits in on the hard conversations early. That support is heaviest in the first month and gets lighter as you get better at leading the person.

Frequently asked questions

What hours will my Sydney-based team work?

Your team member works your business day, not a night shift. A 9am to 5pm Sydney day is 7am to 3pm in Manila, or 6am to 2pm during daylight saving. We set the roster to your hours and it stays consistent. If you need a slightly later start so the whole team is online together, we build that in before day one.

Do I need an entity in the Philippines to hire someone in Sydney?

No. Our Philippine entity employs your team member under an employer of record arrangement, which means the local employment obligations sit with that entity rather than with your Australian company. You direct the work day to day. We handle the employment structure underneath it.

How does daylight saving affect the arrangement?

Manila stays on UTC+8 all year, so when New South Wales moves to daylight saving in October the gap widens from two hours to three. Your team member's start time in Manila shifts an hour earlier, and we adjust the roster so your coverage stays the same. Brisbane clients see no change at all.

Can they answer our phones during Sydney business hours?

Yes. Because Manila mornings cover your business day, phone and live chat coverage from 9am Sydney time is straightforward. Many Sydney clients have their team member online before the office opens so early callers get a person rather than voicemail.

What happens if the person isn't working out?

If your team member doesn't meet the standards we agreed within 60 days, we replace them at no extra cost. Before that point we'd usually be trying to fix it, because most early problems are briefing problems rather than capability problems, and that's our job to sort out.

Do you have an office in Sydney we can visit?

No. We're Australian-managed but we don't run premises in Sydney. Account management, briefing and quality control happen remotely with senior people in your timezone. If you want a face to face conversation we'll do it over video, and you'll be talking to the person who actually runs your account.
